Use of the AI Assistant does not guarantee that a problem has been correctly identified, that a repair is appropriate, or that a system is safe to operate. Any repair, service, or operating decision should be confirmed by a trained professional.

Appropriate Use

You agree to use the AI Assistant only for lawful purposes and only to request general HVAC support, information, or service assistance. Abuse, misuse, spam, or attempts to interfere with the website or AI systems are not permitted.

Important Safety Notice

Safety first: If you smell gas, burning, electrical overheating, smoke, or other foul odours, or if there is a power failure, sparking, or immediate safety concern, do not rely on the AI Assistant for emergency guidance.

In any urgent or potentially dangerous situation, it is best to leave the premises if it is safe to do so and contact emergency services or the appropriate emergency utility provider right away.

The AI Assistant is not an emergency response service and must not be relied upon in place of emergency personnel, emergency gas response, electrical emergency response, or fire services.

Examples may include: gas smell, smoke, burning odour, visible sparks, carbon monoxide alarms, flooding near electrical equipment, or a system that appears unsafe to operate.

Privacy

During a chat session, the AI Assistant may collect information that you voluntarily provide, such as your name, phone number, email address, address, city, postal code, equipment type, issue details, and service availability.

Temporary Chat Session Storage

Data collected during a chat session is stored for a maximum of 14 days for customer assistance and system improvement purposes, including helping the system respond better if you return to continue the same support request.

After that period, chat-session data is deleted from that temporary support flow.

Why Chat Data Is Stored Temporarily

  • To help continue a conversation if you return shortly after a previous chat.
  • To improve customer assistance during an active or recent support request.
  • To review chat quality, troubleshooting flow, and service handoff accuracy.

Information You Should Avoid Sharing

Please do not enter sensitive financial information, passwords, banking details, credit card numbers, or any unrelated private personal information into the AI chat.

Data Control

Before a Service Ticket Is Submitted

Information shared in the chat remains part of the temporary chat support process and is retained for up to 14 days as described above.

After a Service Ticket Is Submitted

Once a service ticket has been submitted, Greater Sudbury Heating & Air Conditioning may use the information you provided to create or update a customer profile for future service calls, scheduling, communication, equipment history, and support follow-up.

This may include details such as:

  • Name and contact information
  • Service address and location details
  • Equipment or system type
  • Past issue descriptions and service history
